Paycom Update

Things have really progressed with employees utilizing the new timekeeping and payroll system. We are even working out the kinks associated with our on-call situations! In order to stay on this track and get things implemented as expected here are some things to follow:

  • The Monday morning requirement to turn in time cards has had a few bumps. First, confirm with your supervisor when you must get your time card turned in. With the exception of those working on Saturdays, you should probably get your time card approved (used to be called “submitted”) by the end of your day on Friday to assure everything is approved by 9 a.m. Monday.
  • Second, to keep transfers and funding sources squared away you should probably be checking your time card each day to assure everything is accurate. If punch change requests are needed it is easier to remember what you did after a day than a week!
  • We have projected being completely in place after four pay periods, so our next two (the second being for work hours through Saturday, November 18; pay on Friday, November 24) are very important. By that time we will assume everything is working as expected and well-understood. As a result, changes will not be made after time cards are approved by 9 a.m. Monday. If you have any questions at all please make sure to ask your supervisor.
  • If, after the grace period mentioned above, you are missing a punch or have not entered the proper transfer or other punch but already approved your time card, hours incomplete or in question will not be paid during that cycle. If you find an error in your time card or pay after the grace period, contact your supervisor who will work with payroll to make the correction needed. In any event, changes will always start with an employee punch change request explaining the nature of the error. Making corrections after the pay period will not be an easy process, necessitating corrections to billing, general ledger, grant reporting, etc.

We are all doing a terrific job of acclimating to a new and different system With a few adjustments on everyone’s part we will have normalized timekeeping and payroll routines and well on our way and solely focused on what we do best – taking care of clients!
