Important Reminders for Year End

As the year draws to a close we want to have the necessary data needed for several items. Please take a few minutes to complete these things so we can all have a great new year!

  1. To make sure we are able to accurately process forms like your W-2 and 1095 make sure your personal information is complete and accurate. This includes your name, mailing address and your social security number. Your address and contact information can be found in Paycom’s ESS screen under the Information tab.
  2. You should also make an election for electronic versions of your W-2 and 1095 forms. Electronic forms are not required, but it will save the agency money if we do not have to print them on the required forms and distribute hard copies to you. This election is also in your ESS feed, under Payroll, Year End Tax Forms. Remember to hit “Save” when making these changes.
  3. If you are eligible for the medical benefit plan you may have received a system message for 2024 open enrollment. If you deleted the email you can still confirm your preference for the HSA which you will find under the Benefits tab and Open Enrollment 2024. You must complete HSA enrollment even if you do not make an additional contribution or do not participate in the medical plan. This must be completed by Friday, December 22, and you can access this from the ESS page under benefits then under Open Enrollment.

If you are a medical plan participant, check:

    • Health Savings Account Employee
    • Individual or Family
    • Enter an amount – beyond the employer contribution – that you want to contribute, if any
    • If not adding a personal contribution leave blank
    • Click on Skip and you are done

If you are not a medical plan participant:

    • Check Decline Coverage and
    • Click on Skip

To comply with laws regarding equal employment opportunity and affirmative action, we are required to record race/ethnicity and gender of our employees which is subsequently reported to various agencies. We need your help in this process. Completion of this information is voluntary, and refusal to answer will not subject you to anything adverse, but we have a number of employees who didn’t provide this information so we need your help to minimize the number of instances where there is no response at all. You can do this from your Paycom Self-Service page by going to the Information tab and select “EEO Information.” Click on the information you are comfortable with and click on “Update” when you are through.

Remember that the agency will observe Monday and Tuesday, December 25 and 26 as holidays so full time employees do not have to ask off for Tuesday. If you are a supervisor and an employee submits a request for that day off, you can deny the request as the system will automatically pay full time people for that date.
